User Payment Report User Guide

User Payment Report: See Who’s Buying, Not Just What Sold

Your church store, event registrations, and mission trip fees generate plenty of transaction data. But product-level reports tell you what sold—not who bought it. When you need to follow up with event attendees, thank your top bookstore customers, or build a membership outreach list, you need a roster of people, not just line items.

Why a User Roster Matters

The User Payment Report answers the question: “Who made a payment in this date range?” It’s a buyer-focused report that lists every user who completed at least one approved payment within your selected period. For each person, you see their total amount paid, number of approved transactions, recurring schedule status, last activity date, and contact details. That makes it ideal for scenarios like identifying your best store customers, following up after a conference or retreat, or planning membership or stewardship outreach.

Unlike the Product Sales Report, which groups data by collection, product, or order, the User Payment Report groups by person. You get a sortable table of users with Gravatar photos, names, email addresses, organizations, campuses, and financial summaries. Each row links to that user’s full profile, their payment history, recurring schedules, and more. A powerful search modal lets you narrow results by name, organization, address, email, phone, or any of a dozen ChMS external IDs.

BETA Status and Date Range Limits

The User Payment Report is currently a BETA feature. You’ll see a BETA badge in the page header. The report is limited to a maximum date range of 365 days. If you select a range longer than that, the system will reset to the default (last seven days) and display a message explaining the limit. This ensures consistent performance and reliable results while the feature matures.

The User Payment Report (also called the Buyer Report or User Roster) is available at /admin/users/txn_report?trans_mode=payments. It displays a roster of everyone who made at least one approved payment within your selected date range. The report includes three summary cards (Total Users, Total Amount, Total Transactions), a sortable user table with financial columns, contact info, external ChMS IDs, last activity dates, and a CSV export. For multi-campus churches, a campus filter restricts results to a specific campus.

Accessing the User Payment Report

To open the User Payment Report:

  1. Log in to the control panel.
  2. In the left navigation, click “Users”.
  3. Navigate to the report via one of these paths:
  • From the Payment Reports Hub (/admin/paymentreports): Click the User Payment Report card, then click “View Report” with your desired date range.
  • Direct URL: Go to /admin/users/txn_report?trans_mode=payments. Add payment_date=MM/DD/YYYY to MM/DD/YYYY to pre-fill the date range.

The report displays with a BETA badge in the header, a report description alert banner, and (for multi-campus churches) a Campus filter dropdown in the heading area.

Setting the Date Range (365-Day Max)

The Payment Date filter controls which payments are included. Click the date range display to open the picker. You can select a custom start and end date, or use presets such as Last Week, Last Month, Last Quarter, Last Year, or Year to Date. The report enforces a maximum of 365 days. If you select a range longer than 365 days, the system resets to the default (last seven days) and shows a message: “Please note the BETA Donor Report is currently limited to a maximum 365-day period.”

Active filters (including Payment Date and Campus) appear as removable chips below the date picker. Click the × on a chip to remove that filter and refresh the report.

Summary Cards (Total Users, Amount, Transactions)

Three summary cards appear at the top of the report:

  • Total Users: The count of unique users who made at least one approved payment in the selected range.
  • Total Amount: The sum of all approved payment amounts in the range.
  • Total Transactions: The total number of approved transactions in the range.

Each card shows the date range used. Hover over a card for a tooltip with more context. The values reflect the current filters (Payment Date and Campus).

Understanding the User Table

The main content is a sortable table. Each row represents one user who paid in the selected range. Columns include Name (with contact info), Payments (Total Amount and Approved Count), Recurring, External IDs, and Last Activity. You can sort by clicking column headers: Name (last name, first name), Payments (total amount), and others. The table displays up to 6,000 users. A total count appears at the bottom of the page.

Name Column and User Actions

The Name column shows a Gravatar image, the user’s full name (with a dropdown caret), and contact details: email, organization, campus, address (when duplicate-finding is enabled), and phone. Click the name to open a dropdown menu with 15+ actions:

  • View Profile: Opens the user’s profile page.
  • Edit Profile: Opens the user edit form.
  • View All Transactions: Opens the transactions list filtered by this user.
  • View All Donations: Opens the donations list filtered by this user.
  • View All Payments: Opens the payments list filtered by this user.
  • View Recurring: Opens the recurring schedules page for this user.
  • View Payment Methods: Opens the payment methods list for this user.
  • Virtual Terminal: Opens the virtual terminal for this user.
  • View Form Submissions: Opens form submissions for this user.
  • View User Notes: Opens the user notes page.
  • Sign In as User: Opens a new tab signed in as this user (for support or testing).
  • ChMS Links: If the user is linked to Ministry Platform (MP), SalesForce (SF), Church Community Builder (CCB), Fellowship One (F1), Planning Center (PCO), One Church Software (OCS), Aplos, Aegis, IconCMO, BVCMS (TouchPoint), or Rock RMS, you’ll see links to view the donor or user record in that system.
  • Delete: Deletes the user (only for non-system users). The system checks for active recurring schedules before allowing deletion.

A gear icon in the rightmost column also opens the same dropdown. Contact info (email, organization, campus, address, phone) appears directly under the name in the Name column.

Financial Columns (Total Amount, Approved Count, Recurring)

The Payments column (labeled with the transaction type, e.g., “Payments”) shows:

  • Total Amount: The sum of approved payments for this user in the selected range. Click the amount to open the payments list filtered by this user and date range.
  • Approved Count: The number of approved transactions.
  • Additional context: days since last approved transaction, average days between transactions (when available).

The Recurring column shows:

  • Active Recurring Amount: The total monthly (or equivalent) amount from active recurring schedules.
  • Total Schedules: The number of active recurring schedules. Click to open the recurring schedules page for this user.

External IDs and ChMS Integration

The External IDs column displays ChMS identifiers when the user is linked to an integrated system. Labels include: CCB, F1 (Fellowship One), SF (SalesForce), MP (Ministry Platform), Rock (Rock RMS), BRZ (Breeze), PCO (Planning Center), OCS (One Church Software), Aplos, Aegis, ICON (IconCMO), TP (TouchPoint/BVCMS), and ENV (ACS environment). For MP and Rock, the labels link directly to the ChMS record. For users not yet linked, you may see buttons such as Associate MP, Auto Match CCB, Auto Match F1, Associate Rock, and similar for other ChMS systems. Click these to attempt an automatic match.

Last Activity and Engagement Dates

The Last Activity column shows:

  • Last Activity Date: The most recent activity timestamp.
  • Donor Since: The user’s account creation date.
  • Last Login: When the user last signed in, or “Never Signed In” if they have not.
  • Last Trans: The date of their most recent transaction.

These dates help you assess engagement and prioritize follow-up.

Searching for Users

Use the search modal to narrow results. Open it via the search icon in the table header (if present) or via the Filters dropdown. The modal includes 15+ fields:

  • Basic: First Name, Last Name, Organization, Address, City, State/Province, Postal Code, Email, Phone
  • ChMS IDs: Fellowship One ID, Ministry Platform ID, Rock RMS Person ID, Breeze ID, CCB ID, PCO ID, IconCMO ID, TouchPoint ID, Aplos ID, Aegis ID, One Church Software People ID, Env ID

Enter values in any combination and click “Search Users”. The report refreshes with matching users. Search criteria are preserved in the URL and filter chips.

Exporting Results (CSV)

Click the “Export Results” button to download a CSV file of the current report. The export includes user fields (name, email, organization, address, phone, etc.) plus total_amount and total_transactions for the selected range. The filename includes a timestamp. All active filters (date range, campus, search criteria) are applied to the export.

Multi-Campus Behavior

For multi-campus churches, a Campus filter appears in the page header. Use the Filters dropdown to select a campus. The report then shows only users whose payments were associated with that campus’s fund. Remove the campus filter to see all users across campuses. The campus filter works together with the Payment Date filter and search criteria.

Tips

  • Use the User Payment Report after events (conferences, retreats, VBS) to build thank-you or follow-up lists.
  • Sort by Total Amount to quickly identify your highest-value payers.
  • Use the Recurring column to see who has active recurring payments—useful for stewardship planning.
  • Search by ChMS ID when you need to verify or troubleshoot a specific person’s record across systems.
  • Export to CSV for mail merges, CRM imports, or external analysis.

Frequently Asked Questions

What is the difference between the User Payment Report and the Donor Report?

The User Payment Report shows users who made payments (non-tax-deductible transactions such as store purchases, event fees, and product orders). The Donor Report shows users who made donations (tax-deductible giving). Both use the same page layout and filters but filter by transaction type. Access the User Payment Report from the Payment Reports Hub or via the Users section with payments selected; the Donor Report uses the same page with donations selected.

Why is my date range resetting to seven days?

The User Payment Report has a 365-day maximum. If you select a range longer than 365 days, the system resets to the default (last seven days) and displays an error message. Choose a shorter range or split your analysis into multiple periods.

Can I search by ChMS ID?

Yes. Open the search modal and use the ChMS ID fields: Fellowship One ID, Ministry Platform ID, Rock RMS Person ID, Breeze ID, CCB ID, PCO ID, IconCMO ID, TouchPoint ID, Aplos ID, Aegis ID, One Church Software People ID, or Env ID. Enter the ID and click Search Users to find that person.

What does the BETA badge mean?

The User Payment Report is in BETA. The feature is fully functional but may receive updates and refinements. The 365-day limit is one example of a BETA constraint. We encourage feedback at support@onlinegiving.org.

How many users can the report display?

The table displays up to 6,000 users. If your date range or filters produce more than 6,000 matching users, narrow the range or add search criteria to reduce the result set. The export includes all users up to that limit.

Does the export include the same filters I see on screen?

Yes. The Export Results button exports the current filtered view. Payment date, campus, and all search criteria are applied. The CSV includes user profile fields plus total_amount and total_transactions for the selected range.
